How an order actually runs, step by step.
The expanded version — file formats, confidentiality handling, and exactly what 'confirm the quote' means before you commit to anything.
01 — Brief
- What we ask for: the document (or a description of the content), source and target language, deadline, and whether certification is required.
- File formats we accept: PDF, Word, Excel, PowerPoint, plain text, scanned images (JPG/PNG) for certified documents, and structured formats (XML, XLIFF, JSON) for technical and localization work.
- NDA handling: available on request, signed before we receive the document, at no extra charge.
- Confirming the quote means: you see the exact price and turnaround before anything starts.
02 — Translate & review
- A subject-matter linguist translates the content, briefed on its purpose and destination.
- Professional-tier orders add an independent second-linguist review before delivery.
- Terminology is tracked and reused within a project and, on request, across future orders.
03 — Deliver
- Digital delivery is standard — a finished file by email, ready to use or submit.
- Sealed hard copy is available for certified documents, posted after the digital version is confirmed ready.
- Two revision rounds are included, free, for 14 days after delivery.
Digital, sealed hard copy, or apostille — which do you need?
- Digital (PDF) A signed, sealed PDF, delivered by email. Accepted by most German authorities. Fastest option, included in the base price.
- Sealed hard copy A physically stamped and signed paper copy, posted to you. Required by some courts and Standesämter. +€8.90 within Germany, +€14.90 EU, +€24.90 rest of world.
- Apostille / legalisation For documents that need to be recognised outside Germany — a separate process from certification, handled as its own product. →
File formats & handling
- Text documents Word, PDF, plain text — layout preserved where the format allows it.
- Spreadsheets & presentations Excel and PowerPoint, formatting preserved.
- Scanned & photographed documents JPG or PNG, clear enough to read, is enough for certified translation.
- Audio & video MP4, MOV, MP3, WAV, for subtitling and transcription.
