2. What this policy covers
This policy explains what personal data business-translate GmbH collects when you visit this website, request a quote, or place an order, and what your rights are under the General Data Protection Regulation (GDPR/DSGVO).
3. Data we collect and why
When you browse the site: Technical data your browser sends automatically (IP address, browser type, referring page, date and time of access, requested page) — collected in server log files for the technical operation and security of the site. Legal basis: Art. 6(1)(f) GDPR (legitimate interest in a functioning, secure website).
When you request a quote or place an order: Name, email address, phone number (optional), company name (optional), billing address, and — only where you order a physical item such as a sealed hard copy — a delivery address. Also: the service you're enquiring about, source and target language, deadline, and any message or file description you provide. Legal basis: Art. 6(1)(b) GDPR (to respond to your enquiry or perform a contract with you).
Your source documents: When you send us documents to translate, we process their content only to the extent necessary to deliver the service you ordered. Legal basis: Art. 6(1)(b) GDPR (performance of the translation contract).
Order and invoice records: Order details, prices and invoices are kept to meet German commercial and tax record-keeping obligations. Legal basis: Art. 6(1)(c) GDPR (legal obligation), in particular § 147 of the German Fiscal Code (Abgabenordnung) and § 257 of the German Commercial Code (Handelsgesetzbuch).
Analytics (Google Analytics 4): If you consent, we use Google Analytics 4, provided by Google Ireland Limited, to understand how the site is used in aggregate. This is switched off by default; it loads only after you actively opt in through the cookie banner or preference centre. Legal basis: Art. 6(1)(a) GDPR (consent). You can withdraw consent at any time via "Cookie settings" in the footer. See our Cookie Policy for the specific identifiers this sets.
4. What we do not collect
We do not ask for or store payment card data on our own systems — the payment step on this site either runs in test mode, or, where a real payment method is enabled, is handled by a dedicated, independent payment provider. We do not use tracking pixels, social-media plug-ins, or third-party embeds (including no Google Maps embed) that would load before your consent.
5. How long we keep data
Order, invoice and accounting records: kept for the periods required by German commercial and tax law (currently up to 10 years for certain accounting records). Source documents and working translation files: kept only as long as needed to deliver your order and to handle any revision request within the 14-day revision window, then deleted, unless you ask us in writing to retain them for a future order (for example, a glossary or translation memory for an ongoing localization project). Quote-request and contact-form data where no order follows: deleted after 12 months of inactivity, unless you ask us to delete it sooner. Analytics data: retained by Google according to the retention settings we configure, currently 14 months, and only collected at all if you consent.
6. Who we share data with
We do not sell personal data. We share data only where necessary: with the payment provider handling a real transaction (once enabled), with Google Ireland Limited for analytics (only after consent), and where required by law (for example, tax authorities). We do not use a third-party CRM or marketing platform.
7. International transfers
Where a service provider (such as Google, for analytics) processes data outside the EU/EEA, that transfer relies on the provider's own GDPR-compliant safeguards (such as the EU-U.S. Data Privacy Framework or Standard Contractual Clauses), consistent with their published data processing terms.
8. Your rights
Under the GDPR, you have the right to: access the personal data we hold about you (Art. 15); request correction of inaccurate data (Art. 16); request erasure (Art. 17); request restriction of processing (Art. 18); receive your data in a portable format (Art. 20); and object to processing based on legitimate interest (Art. 21). Where processing relies on consent, you may withdraw it at any time, without affecting the lawfulness of processing before withdrawal. 9. Right to complain
You have the right to lodge a complaint with a data protection supervisory authority. The authority responsible for business-translate GmbH is the Landesbeauftragte für den Datenschutz und die Informationsfreiheit Rheinland-Pfalz ( https://www.datenschutz.rlp.de ), or the authority in your own EU member state.
